2017/18 EEPTO Board and Committee Positions
Eanes Elementary thrives partially due to parent volunteers. Big jobs, little jobs...there are many positions that need help each year. Please take a look at the descriptions below. Board Position descriptions:
The PTO President Elect is a three year commitment. The President Elect runs the IEC meetings and manages all voting on IEC requests as needed. The President Elect support the President as needed throughout the year. The President Elect sits on the CLT (Campus Leadership Team), DLT (District Leadership Team), attends Presidents Council every other month, attends all PTO Board and General Meetings and meets with the President and Principal on a monthly basis. Work load is very even except for the beginning of the year with back to school events. The President Elect commits to being the President the following year and remaining on the PTO Board as the Past President the year after that.
VP Student Enrichment:
Facilitate student events including STEAM Day, Science Day, Movie Night, Mustang Mania, and Evening at Eanes. Help recruit Chairpersons for each event and help support the Chairperson by assisting with volunteer recruitment, ordering supplies, creating take home flyers, etc.. The bulk of these events are in the Spring. This position is also charged with managing the lost & found and planning four school assemblies, two in Fall and two in Spring. This position will manage a budget for recess consumables which are processed via teacher requests. Attend each event and attend both monthly Board and General meetings. Will oversee the following committees: Science & STEAM days, Lost & Found, Mustang Mania, Junior Achievement, Cultural Enrichment, Movie Night, Evening at Eanes
Attend both the Board and General PTO meetings each month and take minutes (notes) of what is discussed. Communicate with VP Communication to post the minutes to the EEPTO website once they are approved. Responsible for organizing and printing all tax/thank you correspondence regarding Underwriting. Will attend all Board and General meetings.
VP of Fundraising:
Responsible for recruiting and managing Chairpersons for Underwriting, Mustang Mixer, Carnival, Sponsorships, School Supplies, Spirit Wear and Spirit Nights. The VP of Fundraising works as a liaison between the Board and the fundraising chairs to help coordinate events, spirit wear sales, sponsorships and the Underwriting Campaign. The VP of Fundraising position responsibilities are heaviest in the late Spring, Summer and early Fall working to prepare for the upcoming school year’s fundraising events. AVP of Fundraising attends all Board and General meetings to provide updates to the Board and members.
Responsible for recruiting and managing Chairpersons for Yearbook, Marquee, Meet-The-Teacher, Photography, New Families, Kinder Playdates, and Bulletin Boards. Communications also manages the online School Directory and Website. The Communications position works closely with all other committees/VP's to relay information to the parent population via email blasts, printed flyers, banners, etc; in addition, acts as a liaison between the PTO and the school registrar/secretary. Communications VP creates a weekly newsletter and weekly updates to the EEPTO website, with additional work during Underwriting campaign in the Fall and Student Enrichment events throughout the year. Will attend all Board and General meetings.
VP Teacher Support:
Oversees: Art Room Volunteer Coordinator, Library Volunteer Coordinator, Workroom Volunteer Coordinator, Teacher Breakroom Coordinator, Staff Birthday Breakfasts (once a month), Staff/Teacher Appreciation Meals AND Week (in May), Room Parents, Food Coordination at Class Parties (and in charge of purchasing), Desserts for December. Busiest time for this position is at the beginning of school. VP Teacher Support is in charge of meals for Back-to-School, Meet-the-Teacher, etc... as well as coordinating all volunteer information to home room parents and teachers. Works closely with Sign-up Chair in creating all volunteer sign-up positions online. Will attend all Board and General meetings.
Attends all Board, IEC and General meetings, will process all IEC orders, checks PTO lock box, and make deposits of checks and cash. Support Treasurer at all PTO related events that involve money: mustang mixer, carnival, movie night, meet the teacher, etc. Compile and organize Underwriting list weekly for VP of fundraising and VP of communications. The Treasurer Elect will move into the Treasurer's position the following year.

Marquee: Keep Eanes community informed through messages posted on the Marquee. Time commitment: weekly
Bulletin Boards: Decorate bulletin boards on campus. Time commitment: Once or twice a semester
Yearbook Coordinator: Produce and distribute the yearbook. Requires computer skills. Time commitment: Varied throughout the year, heaviest in Spring.
Yearbook Club: Leads the 5th grade club of 10 kids and works closely with the yearbook coordinator. Some photography skills needed. Time commitment: 4 to 5 days a month
New Families: Attends Kinder Round-up as a representative of the EEPTO. Connects new families with current families to help them feel welcomed. Time commitment: throughout the year
Underwriting: Responsible for creating all collateral associated with the Underwriting campaign: letter and brochure are created over the summer and distributed at Back to School. Responsible for promoting the Underwriting campaign in assemblies, in car line, at PTO Meetings, etc. The UW chairs coordinate with the VP of Fundraising to ensure communication of the campaign to the PTO Board and parent families through list serve, PTO meetings, classroom homeroom moms and handouts. The Underwriting chairs are responsible for printing of the donor banners both on the front steps and in the cafeteria/office as well as working with the Carnival chairs and Board to create the T-shirt at Carnival. Time commitment: Weekly, August through October
Mustang Mixer: Our largest FRIENDraiser! Manages: event location, auction items, catering, decorations, setup/teardown, sponsorships, and ticket sales. Time commitment: August through event date (typically early Fall)
School Supplies: In the Spring...work with school administration to collect supply lists & work with treasurer to manage sales of all supplies. In the summer...recruit and manage team to help sort and distribute supplies at Meet-the-Teacher in August.
Sponsorship: Works with local and national businesses to earn money for our school through sales and promotions. Time commitment: Sporadically through the whole year.
Spirit Wear: Works with graphic designer to design products. Responsible for orders and sales online, at Meet-the-Teacher, at Carnival, etc. Time commitment: Sporadically through the whole year.
Carnival: One of our largest community builders. Manage a team of sub-committees: Advertising, Auction Items, Decorations, Food, Games, Setup/Teardown, Sponsorships, Ticket Sales. Time commitment: August through Carnival weekend.
Box Tops: Works with the BoxTops collection services and Eanes parents to collect, count, and organize collection sheets. Collections times happen twice a year.
Socials Chair: Responsible for recruiting hosts and creating Socials parties for all grade levels and adult events. Manage all sign-up lists, work with Treasurer to ensure all funds are collected, work with Communications to promote Socials sign-ups.
Sign-Up Chair: Responsible for creating/managing Sign-Up spots for every grade/every classroom's specific needs. Works closely with VP Teacher support and school's technology advisor. Time commitment: Heavy in August, sporadically through the whole year.
Mustang Mania: Works with PE teachers to host a Field Day event. Event is typically in Spring.
Evening at Eanes: Works with Art and Music teachers to host one evening to showcase all student's work involving the arts. Event is typically in late Spring.
Lost & Found: Manages school lost&found in Cafeteria. Time commitment: sporadically throughout the year
Spirit Nights: Contacts local restaurants to arrange profit-share days/nights throughout the year.
